An App Idea for the Planning vs Execution Gap
A lightweight planning tracker that forces one next action per task, logs actual time spent against the plan, and shows where the gap between planned and executed work is happening.
Tips to increase productivity and reduce distraction?
Heya, new here. I currently take notes about my projects and goals using Anytype. The software doesn't really matter but the "system" behind it feels weak. More specifically, feels like I could be doing a better job with my noting, since when I'm actually executing work, there tends to be "gaps" between what I was expecting to do and I what I end up doing. Also, notes on reducing distraction would be appreciate it. Anything that you use and you think is useful for your productivity, please share!
The problem, in the searcher’s words
I keep detailed notes on my projects and goals, but when it's actually time to execute, there's a gap between what I planned and what I end up doing. It doesn't feel like a tool problem — I've tried different note apps — it feels like the 'system' behind the notes is weak.
I can't tell if the real issue is my note-taking habits, bad time estimates, too many competing priorities, or just distraction eating into the day. I want to know what actually closes that gap, plus how to cut down on the distractions that make it worse.
Is there a system, routine, or app that helps you capture the next action, track what you actually did versus what you planned, and see where things keep falling apart?
What the thread shows
Multiple commenters independently recognize the same 'planned vs. executed' gap and offer competing diagnoses (weak notes system, bad time estimates, poor prioritization), showing the pain is real and commonly experienced, but no one names a tool that fully solves it or states they'd pay for one.
“there tends to be "gaps" between what I was expecting to do and I what I end up doing.”
“The trick is to stop trying to make the notes system perfect and give it one job: capture the next action. If the note doesn’t tell you what to do next, it’s just a nicer junk drawer.”
“ngl the gap probably isn't a noting problem — sounds more like an estimate problem. try jotting actual time spent next to whatever you planned for each task.”
“The gap between what you planned and what you end up doing is usually a prioritization problem more than a note taking one.”
Target customer
Who
Self-directed knowledge workers and project owners who already keep notes/goals in a tool like Anytype, Notion, or a homemade list, but whose planning doesn't reliably turn into completed work.
Context
They hit this during a work session or weekly review, when they notice what they actually did doesn't match what they wrote down, and they're unsure whether the fix is a better note format, better time estimates, or fewer priorities.
What to build
- Single 'next action' + time estimate per task (per d1smiss3d's 'give it one job' approach)
- Daily actual-time-spent log against each planned task (from tuilimys's time-log suggestion)
- Cap of 3 'must-do-today' tasks (from buddypuncheric's prioritization advice)
- Weekly review that turns repeated tasks into checklists (from d1smiss3d's routine)
- Completed-task archive/folder for past notes (from Gadshill's approach)
Build note — No specific integrations are named in the thread beyond the tools people already use (Anytype, Notion, Asana); an MVP could start as a standalone lightweight tracker and add import/sync later rather than requiring a data source.

Who’s already out there
General-purpose notes and knowledge-base app the OP currently uses to track projects and goals.
Gap: OP says the software 'doesn't really matter' — the underlying system for turning notes into completed next actions is what's missing, not a note-taking feature.
All-in-one workspace/notes tool cited by Reakted as one of the apps they pulled ideas from before building their own to-do/notebook system.
Gap: Didn't fully match Reakted's personal plan-vs-actual workflow, prompting them to build a custom tool instead of adopting Notion as-is.
Task/project management tool also cited by Reakted as a source of 'best of' features.
Gap: Task-management focused; didn't cover the personal plan-vs-actual review loop Reakted wanted, so they built a custom tool instead.
Demand read
The thread shows recurring, cross-referenced pain about turning plans into completed work, but no one names a price, a paid tool, or explicit intent to pay — people describe free, self-built workarounds instead, so durable paid demand isn't confirmed by this source.
Worth digging into before you build
2 to considerNo idea is a sure thing at this stage — these are open questions worth checking yourself, not a verdict against building it.
Generic Idea
Core idea sits in the saturated todo-list/note-taking/productivity-system category (Notion, Anytype, Asana, Todoist already crowd this space); differentiation is unclear from this thread.
Weak Demand
No willingness-to-pay statements anywhere in the thread — commenters describe free, self-built systems, not paid tools or price points.
